Illinois EPRC employee CSV: match IDOL's template exactly
Businesses with 100 or more Illinois employees recertify their Equal Pay Registration Certificate every two years and upload an employee CSV built from IDOL's template. IDOL's FAQ: you must use the exact language from the template or the import fails. As of January 1, 2027, any file that still uses "prefers not to identify" for sex or race is rejected.
The 16 columns
FirstName, LastName, SSN (last four digits only), Gender, Race, Ethnicity, Wages (nearest hundred dollars), HoursWorked (nearest hour), HireDate, TerminationDate, JobClassification, JobTitle, County, PaidHS, BaseHourlyRate, CBAYN.
What gets fixed automatically
- Template note rows and option lists you forgot to delete before saving as CSV.
- "white" → "White alone"; "Craft Workers" → "Craft Worker (formerly Craft Worker (Skilled))"; "Cook County" → "Cook"; "Hourly" → H; "yes" → Y.
- Excel date serials (44166) → 12/01/2020; ISO dates → MM/DD/YYYY.
- Wages rounded to the nearest hundred, hours to the nearest hour, rates formatted 0.00, 0 for salaried.
- Full SSNs cut to the last four digits, in your browser, before the file goes anywhere.
What gets flagged for you
- "Prefers not to identify" in Gender, Race or Ethnicity (rejected from 1/1/2027).
- Race or classification wording that doesn't match any of IDOL's options.
- Counties that aren't Illinois counties.
- Hourly employees with no base rate, salaried employees with a rate.
